Artist bookings made easy.
Rosterflow organizes your calendar and lineups, flags double-bookings before they happen, and hands you an AI brief on the whole night — however you pay your artists.

Works with how you already pay Zelle · Venmo · Cash App · Check · Cash
What changes
Three things Rosterflow takes off your plate.
Track every payment in one place
You already pay your DJs over Zelle, Venmo, Cash App, checks, and cash. Mark each gig paid as the money goes out, and the board shows what's still owed at a glance.
Catch double-bookings as they happen
When two bookings land in the same room at overlapping times, Rosterflow flags it as you save the second one, while there's still time to move it.
Pull year-end tax totals in one export
Each artist's totals for the year, broken out by how you paid them. Export the file and send it to your accountant.
| Artist | Paid via | Paid in 2026 |
|---|---|---|
| Marea | Zelle | $8,400 |
| DJ Kessler | Venmo | $11,250 |
| Lumière | Check | $6,800 |
| Nachtwerk | Cash App | $4,200 |
Everything you've just seen is in the free trial.

When the room is busy
A planner for deals that aren't booked yet.
A calendar shows that Friday at 10 is full. It won't show you the rider still sitting in someone's inbox, which act goes in the back room, or the contract the owner hasn't signed off on yet. That's what the planner is for.
- Plan all your rooms in one pipeline. Main room, back room, patio, together in one place, with a flag when two bookings land in the same room at once.
- Keep everything a deal needs on its card. Riders, contracts, hospitality notes, and internal comments, all on the card instead of scattered across email.
- Hand it off without a meeting. Every card has an owner. Move a card and the next person picks it up. Move it to Booked and it lands on the calendar.
Before you book
Know an artist's draw before you book them.
Type in an artist and your city. About a minute later you get an estimated headcount for your room — and the numbers behind it.
Solid club-level draw for Miami. Growing local following, two sold-out area shows this year, and she pulled 210 through your own door in March.
Every morning
Start the day already caught up.
Open Rosterflow in the morning and it's already read your bookings, payments, and pipeline — who's still owed, who plays tonight, what moved. Every number in it comes straight from your own data.
Channel Tres closes out the month tonight, and $1,300 from the 14th is still owed.
- Unpaid Marea ($400), DJ Kessler ($500), and Lumière ($400) are still owed a combined $1,300 from Sat Nov 14.
- Today Channel Tres · 10:00 PM · Main Room. Lineup set, checklist 8/8.
- Upcoming 2 shows in the next 7 days; $900 in payouts coming due.
- Pipeline Polo & Pan moved to Needs rider. $8,500 potential for Fri May 9.
When the team grows
Everyone sees the schedule. Only some see the money.
Bigger operations put more people in the system — bookers, door staff, an accountant. On Scale and above, owners and admins decide, per person, who can see and change bookings, payments, deals, documents, artist contacts, reports, imports, and billing. Turn payments off for someone and every dollar disappears for them everywhere it appears — bookings, dashboard, planner, reports, exports — while the schedule stays.

- Reusable categories. Group people into presets — Booking staff, Finance, Read-only, or ones you define — and every member of the category gets the same view of the venue.
- Per-person overrides. Start from a preset, then flip individual permissions for one person — give your senior booker payments without promoting them to admin.
- Enforced, not hidden. Restricted data is redacted on the server before the page is built — it never reaches the browser. That covers pages, exports, live updates, even the AI morning brief.
Granular access control is included with Scale and Enterprise. On Basic and Pro every teammate you invite shares the same full access. See plans or email hello@rosterflow.co.
Your data
Your deals stay yours.
Rosterflow is private by default. Your bookings, your artists, and every dollar you pay them belong to you alone — we never sell, rent, or share your deal, artist, or financial information with anyone.
- Never sold, never shared. Your deal terms, artist contacts, and payment records are never sold, rented, or handed to advertisers, data brokers, or anyone else — that's not our business model.
- Walled off per venue. Every venue's data is isolated. No other venue — and no other Rosterflow customer — can ever see your lineups, your fees, or who you book.
- The AI works for you only. The daily brief and artist intelligence run on your data to answer your questions. Your books are never used to train models or shared across venues.

Common questions
Straight answers, before you start.
How does payment tracking work?
You pay your DJs however you already do, over Zelle, Venmo, Cash App, a check, or cash. Mark each gig paid when the money goes out. Rosterflow keeps the running tally of what's still owed and adds it all up at year-end.
What happens if I cancel?
Your plan runs to the end of the paid period, and your data stays put either way. The 14-day trial needs no card up front, so there's nothing to cancel — if you don't pick a plan by day 14, access simply pauses and your data waits for you.
What does it cost?
Plans start at $100/month for a single room; Pro, with the planner, reports, and intelligence, is $400/month. Every plan starts with the same 14-day trial with Pro features included. See pricing for the full breakdown.
Can I control what my staff sees?
Yes, on Scale and Enterprise. Owners and admins set what each person can see and change, per area — bookings, payments, deals, documents, artist contacts, reports, imports, and billing. Group people into reusable presets (Booking staff, Finance, Read-only, or your own) and override any single permission per person. Restrictions apply everywhere the data appears — someone without payments access sees the full schedule but no dollar amounts, anywhere, including exports and the daily brief. On Basic and Pro you can still invite your whole team — everyone just shares the same full access.
Where do the AI features get their data?
The daily brief is written from your own bookings, payments, and pipeline, and every figure in it is checked against your data before it reaches you. Artist intelligence looks at public info (socials, streaming, press, recent shows) alongside your own booking history, and it always gives you a range with its reasoning and caveats, never just a number.
Is my booking and payment data private?
Yes. Rosterflow is private by default. We never sell, rent, or share your deal terms, artist contacts, or payment records with advertisers, data brokers, or anyone else. Each venue's data is walled off from every other venue, and the AI features run only on your own data to answer your questions — they're never used to train models or shared across venues. See our privacy policy for the details.
How do I get started?
Create your venue at app.rosterflow.co. Every account starts with a 14-day free trial that includes the Pro features — no credit card required. Add a card and pick a plan when the trial ends.
Why we built it
